Your website and your email are separate things

Your website lives at yourbusiness.com and your email at yourname@yourbusiness.com, but behind that one name sit three separate services, often run by three separate companies.

The three services

1. Your domain. The name itself, yourbusiness.com or yourbusiness.com.my, rented yearly from a registrar, and on its own only a signpost to your website and your email.

2. Website hosting. Stores your pages and shows them to visitors. This is what WebX provides.

3. Email hosting. Receives, stores and sends mail for addresses at your domain, usually through Google, Microsoft or Zoho.

One name, two places

On the domain's settings sheet, called DNS, web records (A and CNAME) say where the website lives and mail records (MX) say where the email goes. They are separate lines that can point at different companies, and in most cases should, which is why either one can go down while the other carries on.

What WebX handles

WebX builds and hosts your website. Connecting a domain you already own is free, and our instructions change the web records only. If WebX manages the domain (an add-on at RM199 a year, registered in your name), we handle the web records and https. Either way the MX records are left alone and your email is not moved, interrupted or changed.

WebX does not offer email hosting and will not add it. Email is a specialist service with its own ways of failing, and the providers below run it as their main business.

Email at your own domain

Most businesses need one eventually, but not on day one. hello@yourbusiness.com on a quotation reads like a company, bizname2024@gmail.com like a side project. An address at your own domain stays with you when staff leave, because the domain is yours. Reply speed matters more to customers than the address, and plenty of Malaysian businesses start on free Gmail and move up once the business settles.

Email providers

  • Free Gmail, or any free email. Fine when you are starting out, reliable and with no fee to pay. The only cost is the impression, which is small early on.
  • Google Workspace. Gmail at your own domain plus Drive, Calendar and Meet, and the easiest step up if you already work in Gmail. Paid per user, per month.
  • Microsoft 365. The pick if your business runs on Outlook, Word and Excel, also paid per user, per month.
  • Zoho Mail. The budget option, less known in Malaysia but solid, and noticeably cheaper than Google or Microsoft once you need several staff addresses.

All four work with a WebX website. The provider gives you MX records to add wherever your domain's DNS lives, with a setup guide, and none of it touches your website.

When email breaks

  • Email down and website down. Almost always an expired domain registration, since an expired .com or .my takes website and email dark together. Check with your registrar first.
  • Email down, website working. Ask your email provider, meaning Google, Microsoft or Zoho support or whoever set it up for you. WebX has no access to your email and cannot fix it.
  • Not sure which. Email us the symptoms and we will tell you which of the three to chase from what we can see, even when the answer is not WebX.
